Event Terms & Conditions

Acceptance of Terms
Event ticket are issued, and private/corporate functions are booked, subject to the terms and conditions set out below (‘The Terms and Conditions’). The purchase of a ticket or booking of a private/corporate functiom constitutes acceptance of the Terms and Conditions.
Digital Downloads (Downloadable Mysteries, Games and Other Downloadable Products)
Because our digital products are delivered instantly via download, all sales of these items are final and non-refundable once the file or access link has been provided. This includes downloadable mystery kits, puzzle adventures, and any related digital content.
However, we want every Alchemist to have an excellent experience. Refunds or replacements will be considered in the following situations:
- You purchased a digital product but did not receive your download link within 24 hours of payment confirmation.
- The file you received is corrupted or inaccessible, and we are unable to provide a functional replacement.
- You were incorrectly charged multiple times for the same product.
In such cases, please contact us within 7 days of purchase at info@alchemytheatre.co.za
with your order details and proof of payment. We’ll review the request and, where applicable, offer a replacement or refund.
Please note:
- Refunds cannot be issued for digital products that have already been accessed, downloaded, or played unless they are faulty.
- Refunds will be processed using the original payment method within 7–10 business days of approval.
If the digital content forms part of a bundle with a live event, refund eligibility will be assessed according to both the live event and digital product terms.
By purchasing any digital product from Alchemy Theatre, you acknowledge and agree to these terms.
Event Cancellation Policy
Although we hope it never happens, there may be certain reasons beyond our control, for which we may need to cancel or postpone one or more events. In such situations, we will notify you as far ahead of time as possible, so you can plan accordingly.
- In case of cancellation by Alchemy Theatre, we will refund the full event fees less relevant bank charges and processing fees incurred. Refunds will be issued within 21 business days after the scheduled conclusion of the event.
- In case the conference or event is postponed, we won’t be able to offer a refund. If you are not able to attend the event on the new dates, you can either nominate another person or use the funds towards any future events.
We apologise that Alchemy Theatre cannot, and does not, make any exceptions to this policy.
Kindly note that we will not be liable for any losses or damages arising as a consequence of such cancellation(s).
Attendee Cancellation Policy
If you are unable to attend an event, a replacement delegate may be sent in your place at no extra charge. Notification must be made in writing and received to hello@alchemytheatre.co.za no later than 3 working days prior to the event commencing.
Cancellations may be made up to 30 days prior to the event and will be subject to an administration charge equal to 20% of the total ticket price. Tickets will not be refunded for cancellations made less than 30 days prior to the event.
Any cancellation must be made in writing and sent by email to hello@alchemytheatre.co.za.
If booking within 7 days of the event start date, full payment is required and due at time of booking.
Private/Corporate Function Booking & Cancellation Policy
If any of the guests are unable to attend an event, a replacement guest may be sent in their place at no extra charge. Notification must be made in writing and received to hello@alchemytheatre.co.za no later than 3 working days prior to the event commencing.
1. Payment Terms
Standard Bookings: A 50% non-refundable deposit is required immediately to secure your booking. The remaining balance is due no later than 7 days before the event date.
Short-Notice Bookings: For events booked less than 2 weeks (14 days) prior to the event date, 100% payment is required upfront to secure the booking.
Late Payment: Failure to pay the balance by the due date may result in the automatic cancellation of your booking and forfeiture of the deposit.
2. Cancellation & Refunds
The 50% deposit is strictly non-refundable.
Cancellation Notice:
More than 7 days notice: If you cancel more than 7 days before the event, you will forfeit your non-refundable deposit. Any additional funds paid over the deposit amount will be refunded.
Less than 7 days notice: Cancellations made within 7 days of the event result in the forfeiture of 100% of the payment. No refunds will be issued.
Rescheduling: Events may be rescheduled subject to availability. Please notify us in writing at hello@alchemytheatre.co.za as soon as possible to discuss alternative dates.
3. General
Guest Numbers: Please confirm final guest numbers 7 days prior to the event.
Liability: Alchemy Theatre excludes liability for loss, injury, or damage to persons or property in or around the venue to the maximum extent permitted by law.
Allergens: While we cater to dietary requirements, our kitchen handles various ingredients. We cannot guarantee that food items are free from trace allergens. Guests with severe allergies should consult their doctor.Cancellations by Alchemy Theatre
In the unlikely event that we are unable to fulfil your booking, all payments received (including the deposit) will be refunded in full.

Sharing of Tickets
Alchemy Theatre does not allow shared tickets. Each ticket allows admittance of one person only.
Change of Programme Content, Format and/or Event Timing
Alchemy Theatre will endeavour to ensure that event programmes are correct at the time of the event. Unfortunately, we may need to alter the programme prior to or during the event and reserve the right to do so without notice. We also reserve the right to change the format of the event or postpone the event (where no refund will be issued) or cancel the event (when full refunds will be issued). Alchemy Theatre is not responsible for any loss or damage as a result of a substitution, alteration, format change, postponement or cancellation of an event.
Group Bookings
In order to receive a Group Booking Discount, all members of the group must come from the same organisation (or be included on the one invoice), tickets to be 10 or more, be registered at the same time and registration must be finalised in a single payment. Alchemy Theatre reserves the right to choose when to offer Group Booking Discounts and these may not apply to all events. Discounts
Individual discounts or Group Booking discounts will only be applied to the full ticket price and cannot be combined with other discounts.
Payment
For individual and group attendee bookings, payment is required either at the time of booking or within 7 days of an invoice being issued. No admittance will be granted where payment has not been received in full unless a prior arrangement has been made in writing with Alchemy Theatre at hello@alchemytheatre.co.za. If booking within 7 days of the event start date, full payment is required and due at the time of booking.
Contact by 3rd Party Notice
Alchemy Theatre does not share our attendee lists to partners and/or sponsors of specific events.
Recording of the Event
You consent to image, film and sound recording of the event as an attendee/member of the audience at the event. Furthermore, you consent to the use of such recording in any broadcast in any territory in the world.
Limited Liability
Alchemy Theatre excludes to the maximum extent permitted by law any liability for loss, injury or damage to persons or property in or around the venue. Any liability on the part of Alchemy Theatre shall be limited to the value of the ticket fee.
Allergen Information
We recommend that you always consult your doctor for questions regarding your diet as Alchemy Theatre and its staff, do not assume responsibility for a person’s sensitivity or allergy to food provided at our events. The allergen information provided is based on our ingredient lists as noted for each event. Please note that normal kitchen operations may involve some shared cooking and preparation areas and utensils, and the possibility exists that your food items may come in contact with other food products, including other allergens.
Governing Law
It is important that you comply with all relevant statutes, health and safety regulations and venue regulations when attending the event. In addition, it is necessary to comply with all reasonable instructions issued by Alchemy Theatre during the event. Failure to observe any of these Terms and Conditions will constitute a breach of contract enforceable in law and may result in legal actions by Alchemy Theatre. These Terms and Conditions are governed by South African law and the parties submit to the exclusive jurisdiction of the South African courts.
